Asana integration

The Asana integration lets you work with Asana directly in Leebry. After an administrator connects the organization's Asana workspace, each user authorizes their own Asana account before using Asana features in chat.

Once the integration is connected and your account is authorized, you can:

  • Search for tasks using natural-language requests
  • View tasks assigned to you or tasks in a specific project
  • List the Asana projects available to you
  • Create and update tasks without leaving Leebry

Leebry returns task cards with direct links to the relevant items in Asana.

Audience

The Asana integration involves both administrators and users.

  • Admins: Connect the organization's Asana workspace in Leebry with its workspace globally unique identifier (GID).

  • Users: Authorize their own Asana accounts to use Asana features in chat.

Prerequisites

Admins:

  • Access to the Integration section in the Leebry admin dashboard
  • An Asana account that can access the workspace you want to connect
  • The workspace GID for that Asana workspace

Users:

  • An administrator has already connected Asana for your organization
  • Your Asana account belongs to the workspace the administrator connected

Connect Asana (admins)

Get the workspace GID

A workspace GID is the unique numeric identifier for an Asana workspace. To find it:

  1. Sign in to the Asana account that has access to the workspace you want to connect.

  2. Open the workspaces endpoint of Asana API in a new browser tab.

  3. In the list of workspaces, find the one you want to connect and copy its GID value.

    For example, in the following response, the workspace GID is 67890:

If you have access to more than one workspace, make sure you copy the GID that matches the workspace you intend to connect. For more details, refer to Asana's instructions for finding a workspace GID.

Add Asana to Leebry

  1. In the Leebry admin dashboard, go to Integration.

  2. In the Asana tile, click Connect.

  3. Enter the workspace GID, then click Continue.

After the connection is established, Asana appears in the list of connected integrations.

Authorize Asana (users)

Before you can use Asana features in Leebry, authorize your personal Asana account. This is required even after an administrator has connected Asana for your organization.

  1. In a Leebry chat, ask an Asana-related question, such as "What are my open tasks?".

  2. When prompted, click "Log in to Asana".

  3. Sign in to Asana, then review and approve the authorization request.

  4. Return to Leebry and repeat your question.

You only need to complete this once, unless the authorization expires or is revoked. The account you authorize must belong to the Asana workspace that your administrator connected.

Use Asana in chat

Try prompts such as:

  • What are my open tasks?
  • Show tasks in the Marketing project.
  • Find tasks about the Q3 launch.
  • What projects do we have in Asana?
  • Create an Asana task to prepare the launch notes.
  • Update the due date for the launch-notes task to Friday.
Note

Task search across a workspace requires Asana premium access. If search is unavailable, ask your Asana administrator whether your workspace or team has the required access. You can still ask Leebry to list tasks assigned to you or tasks in a specific project when those actions are available to your account.

Permissions and security

Leebry uses each person's own Asana authorization to make requests. Your Asana permissions determine which tasks, projects, and actions are available in Leebry. If you can't view or edit an item in Asana, Leebry can't view or edit it on your behalf.

FAQ

Does Asana require admin setup before users can use it?

Yes. An administrator must first connect the organization's Asana workspace using its workspace GID. After that, each user authorizes their own Asana account.

Does each user need to authorize Asana separately?

Yes. The first time you use an Asana request in Leebry, click "Log in to Asana" and approve the authorization request. This lets Leebry act only within your own Asana permissions.

What's a workspace GID?

It's Asana's globally unique identifier for a workspace. Leebry uses it to identify the workspace the organization wants to connect.

Can Leebry access Asana content beyond your permissions?

No. Leebry uses your personal Asana authorization and respects permissions assigned to your Asana account.
